Peak Season Q4 Freight Capacity Planning for BC Shippers
Q4 is the single hardest stretch for freight capacity in Canada. Retail restocking, Black Friday, Cyber Monday, and holiday imports all collide between mid-October and late December. If you ship out of Vancouver or the Lower Mainland and you don't lock in capacity by late October, you're paying spot market rates by Thanksgiving.
Why Q4 Capacity Tightens Every Year
Three overlapping forces squeeze Canadian freight capacity every October through December. Retailers restock for holiday sales. Importers pull containers forward before Chinese New Year production shuts down in January. And e-commerce ships at 2-3x normal volumes through December 24. The result: FTL rates climb 15-25% above Q3 and LTL carriers start refusing shipments on busy lanes.
In the Lower Mainland the pressure is amplified by Port of Vancouver import surges and limited BC-to-east Canada capacity. By mid-November, Vancouver-to-Toronto spot rates can run $6,500-$7,500 for FTL dry van when the summer base was $4,500.
How to Lock Capacity Before It Vanishes
The window for action is early-to-mid October. Here's what to do:
Shift Non-Urgent Freight Earlier
If you have warehouse stock that could ship in October rather than November, move it. Rates are 15-25% lower, carriers are more available, and you free up your December operational bandwidth for truly urgent inventory.
Negotiate Dedicated Capacity in Writing
Spot-market quotes expire in days during Q4. Ask your carrier for a dedicated-capacity letter: X loads per week on named lanes at agreed rates, valid through Dec 31. This is standard for mid-sized shippers but you have to ask by mid-October.
What Shippers Get Wrong in Q4
Waiting for 'the market to settle' — it doesn't. Rates climb steadily from mid-October through peak the week before Christmas. Every week you wait costs you more capacity options and higher rates.
How Vancouver Freight Solutions Handles Peak Season
We maintain reserved capacity on our Vancouver-Calgary, Vancouver-Toronto, Vancouver-US West Coast, and Lower Mainland local lanes through Q4. BC shippers who book us for peak season by October 20 lock in rates that hold through December 23. We also run team-driver service to compress transit times when inventory absolutely has to arrive by a specific date.
For Amazon sellers, our Delta BC facility delivers FBA shipments to YVR2/YVR3 the same day — critical when Amazon's own inbound deadlines compress in November and December.
Rule of thumb for BC Q4 freight: book dedicated capacity by October 20, or pay 20-30% more for spot capacity by November 20.
Early October
- Audit upcoming October-December volume by lane
- Request peak-season rates from your core carriers in writing
- Confirm receiver docks will be open for your delivery windows (many close Dec 24-Jan 2)
Mid-October to Early November
- Lock in dedicated capacity contracts
- Shift any flexible freight into October to clear the pipeline
- Pre-book Port of Vancouver drayage appointments for early November arrivals
